How to use it

  1. Count missed calls for a normal week from your phone log.
  2. Remove calls that weren't new work: spam, existing clients, wrong numbers. What's left as a share of missed calls is the second input.
  3. Use your real close rate on calls you answer. If 10 people call for a quote and 4 book, it's 40%.
  4. Enter the monthly cost of a fix you are considering to see how many jobs it needs to bring back to pay for itself.

What it does not include

Cheapest first step: missed-call text-back setup. Thinking about a full receptionist? Read AI receptionists for cleaning companies: prices and what to test.

FAQ

How is the cost of a missed call worked out here?

Calls missed per week × the share of those callers who wanted to book × your close rate gives jobs lost per week. Multiply by your average job value for revenue at risk. Monthly figures use 52 weeks ÷ 12. If you set visits per customer per year above 1, the yearly customer value is multiplied by it.

Are the default numbers typical for cleaning businesses?

No. They are placeholder assumptions so the calculator shows something on first load. They are not industry averages. Use your own phone log, job value and close rate.

Is this revenue or profit?

Revenue. To see profit at risk, multiply by your own margin on a typical job. A missed call also costs nothing in labor, so treat the figure as an upper bound on what answering every call could recover.

How do I find how many calls I miss?

Your phone carrier or phone app call log shows missed calls. Count a normal week, then remove spam, existing clients and wrong numbers before entering the share who wanted to book.

What does break-even mean here?

How many extra booked jobs a month the fix needs to bring in to cover its monthly cost: monthly cost ÷ average job value. It ignores your margin, so the real break-even on profit is higher.
