Guide · Running the business
The remote cleaning business tool stack
Running a cleaning business remotely means you are not standing in the house. Clients book without calling you, crews get their jobs on their phones, and you can see from anywhere who showed up, what got cleaned, and who paid. Here are the tools to run a cleaning business remotely, sorted by the job each one does. Every tool links to its CleanScout page. Alphabetical within each group, not ranked.
The stack at a glance
| Job | What it replaces | Where to look |
|---|---|---|
| Booking & scheduling | Phone tag and a paper calendar | Booking tools |
| Quoting | Driving out to every estimate | Quote tools |
| Dispatch & GPS check-in | "Are you there yet?" texts | Dispatch tools |
| Photo proof & checklists | Driving by to inspect | Checklist apps |
| Payments | Chasing checks and Venmo | Payment tools |
| Missed calls & AI receptionist | Voicemail | Call tools |
| Reviews | Remembering to ask | Reviews |
| Payroll | Adding up hours by hand | Payroll |
You don't need eight apps. Many all-in-one tools cover booking, dispatch and payments in one place. Start with the job that costs you the most time each week, then add tools only when they remove a real chore.
1. Booking and scheduling
Clients pick a service and a time, see the price, and the job lands on your calendar. You stop being the bottleneck for every new booking.

Airbnb and STR turnovers
Turnovers are scheduled from the host's booking calendar, not booked by a client. These turn checkouts into cleaning jobs:
- BowReady: Free for 2 properties; Starter $6.99/mo (3-5); Growth $14.99 (6-15); Pro $24.99 (16-35); +$0.60/property over 35
- TidyStay: Free for 1 property; $7/property/mo; annual saves 17% ($5.83/mo per OwnerRez)
- Turno: $0 for 1 property or Marketplace-only cleaners; $10/property/mo (or $96/property/yr) with your own cleaners on 2+ properties

2. Quoting without a site visit
Remote quoting works when you collect the same details every time: beds, baths, square footage, condition, pets, frequency and a few photos. Then price from your own costs and confirm on the first visit.
- BunnyBid: Free start; Pro $19/mo or $190/yr
- Jobber: Core $49/mo no commitment, $39/mo on a 1-year commitment, $29/mo billed annually; Connect $139 ($119 / $99); Grow $199 ($169 / $149); Plus $499 ($439 / $399, includes 5 users); starting prices for the smallest team size; extra users $29/mo each; AI Receptionist add-on $29/mo (included in Plus)
- QuoteIQ: Essentials $29.99/mo (1 user); Beginner $99.99 (2 users); Pro $199.99 (4 users); Elite $299.99 (10 users); Max $699.99 (20 users); extra users $25/mo
- ResponsiBid: Startup free; Scaling $179/mo; Pro $229/mo; setup fee (amount not shown)
Use our quote template and free pricing calculators. Put a line in every quote saying the price can be adjusted if the home differs from what was described.
3. Dispatch and GPS check-in
Dispatch means each cleaner sees their own jobs, addresses and notes on their phone. GPS check-in records when they arrived and left, so you know a job started without calling anyone.
- Allclean: Free $0/mo (up to 3 users, 6.9% + 30¢ processing); Pro $299/mo (up to 8 users, 4.9% + 30¢); extra users $40/mo; Kelly AI Starter $99/mo (50 min, $1.99/min after) or Growth $499/mo (500 min, $0.99/min after); Enterprise custom
- CleanFlow: Starter $29/mo (as shown on vendor's comparison table)
- Housecall Pro: Basic $79/mo ($59/mo billed annually, 1 user); Essentials $189 ($149 annually); MAX $329 ($299 annually), $35/mo per additional user on MAX; first-month promotions shown when checked
- Zenbooker: Standard $29/mo (2 service territories); Professional $79 (8); Enterprise $149 (36); National $259 (96); month to month; 14-day free trial
- ZenMaid: Starter $19, Pro $39, Pro Max $49 per month (as shown with 0 office managers selected in the page's team-size picker); SMS charges not included
- CleanFlow lists GPS clock-in along with crew assignment (as recorded in our directory).
- Jobber's pricing page lists GPS tracking and location timers that start and stop visit timers by geofence. Check which plan includes them (Jobber pricing).
- Zenbooker's pricing page lists dispatch with a field app, job offers cleaners can claim, and en-route texts to customers (Zenbooker pricing).
Make it practical: agree on what "checked in" means (at the door, not down the street). Set a rule for late check-ins, for example an alert if nobody has checked in 15 minutes after start. Tell cleaners plainly what location data you collect and when.
4. Proof-of-clean photos and checklists
A checklist with required photos replaces the drive-by inspection. The cleaner can't mark a room done without the photo, and you or the client can review it from anywhere.
General cleaning
- CompanyCam: Not checked price unverified
- maid.co: Starter $20/user/mo (any 2 modules); Growth $99/mo (10 users, then $20 each, any 5 modules); Scale $399/mo (50 users, then $20 each); Enterprise custom; AI receptionist metered at $0.12 per call minute
Link-based, no cleaner app
- CleanProof: Free: 1 active job; Solo $49/mo (per search summary) price unverified
- TurnoverProof: Not published on homepage price unverified

Photo proof for STR turnovers: protecting against damage claims
On a turnover, the cleaner is usually the first person in after a guest leaves. That puts you in the middle when something is broken, missing or filthy. If the host decides to claim against the guest, they need evidence, and they need it fast. Airbnb says hosts should document damage with photos or video and file a reimbursement request in the Resolution Center within 14 days of the guest's checkout (Airbnb Help). Your photos are often that evidence. They also protect you if a host later says the damage happened during the clean.
A routine that holds up
- Arrival photos before you touch anything. One wide shot of every room as you found it, plus close-ups of anything damaged, stained, missing or unusual (smoking, pets, extra guests).
- Use an app that timestamps each photo and ties it to the property and the job. Camera-roll photos sent by text are easy to lose and hard to match to a date.
- Flag issues on the checklist, then message the host the same day with the photos attached or linked. Don't wait for the next turnover.
- Finish with "after" photos of every room, plus the host's must-photo spots. Shoot the same angles each time so before and after are easy to compare.
- Keep originals unedited. Airbnb's host damage protection terms require evidence that isn't doctored or falsified in any way, including with AI (Airbnb terms). Don't crop, filter or "clean up" damage photos.
- Write down where the photos live and for how long, so you can find them if a host asks weeks later.
The host files the claim, not the cleaner. Your job is to hand them clear, dated proof quickly. Tools in our directory that support this kind of record:
- Breezeway: Operations from $19.99/unit/mo; volume discounts at 5+; messaging/Guide/Assist are add-ons
- CleanFlow: Starter $29/mo (as shown on vendor's comparison table)
- CleanProof: Free: 1 active job; Solo $49/mo (per search summary) price unverified
- Doinn: Not checked price unverified
- Properly: Standard from $12.99/property/mo; Pro from $14.99; Real-Time Inspection from $5/inspection
- Tasa: Not checked price unverified
- TurnoverProof: Not published on homepage price unverified
- Turno: $0 for 1 property or Marketplace-only cleaners; $10/property/mo (or $96/property/yr) with your own cleaners on 2+ properties
CleanFlow lists before/after photos and a damage-claim builder. TurnoverProof says cleaners upload required timestamped photos from a link, with no app or account. Tasa and Doinn list timestamped photo proof (as recorded in our directory).
5. Payments
Collect a card at booking and charge it after the job is marked complete. That removes most chasing. Read the processing fees on each vendor's page, because they vary by plan.
- BookingKoala: $27 / $57 / $197 per month (5/15/50 providers)
- Housecall Pro: Basic $79/mo ($59/mo billed annually, 1 user); Essentials $189 ($149 annually); MAX $329 ($299 annually), $35/mo per additional user on MAX; first-month promotions shown when checked
- Zenbooker: Standard $29/mo (2 service territories); Professional $79 (8); Enterprise $149 (36); National $259 (96); month to month; 14-day free trial
- Jobber's pricing page lists online card processing at 2.9% + 30¢ and bank (ACH) payments at 1% (Jobber pricing).
- Zenbooker lists card payments through Stripe, saved cards and deposits, invoices and tips (Zenbooker pricing).
- Allclean's pricing lists processing fees that change by plan (as recorded in our directory).
If clients pay by Venmo, see Acuity + Venmo setup.
6. Missed-call text-back and AI receptionist
When you're not at a desk, calls are the first thing to slip. Text-back is the cheap first step. An AI receptionist answers the call itself.
Missed-call text-back
- PepperSend: $15/mo + $0.03/SMS + $0.40/AI voice min; Inferno $249/mo
AI receptionists
- Dialzara: Lite $29/mo (60 min, $0.48/min overage); Pro $99; Plus $199; Elite $349
- Goodcall: Starter $79/mo per agent, 100 unique callers, unlimited minutes price unverified
- Rosie: Professional $49/mo (250 min); Scale $149/mo (1,000 min); Growth $299/mo (2,000 min); annual billing gives 2 months free
- Smith.ai: AI free for 25 calls then $3/call; human plans from $300/mo price unverified
Built into a booking or CRM tool
- Allclean: Free $0/mo (up to 3 users, 6.9% + 30¢ processing); Pro $299/mo (up to 8 users, 4.9% + 30¢); extra users $40/mo; Kelly AI Starter $99/mo (50 min, $1.99/min after) or Growth $499/mo (500 min, $0.99/min after); Enterprise custom
- Markate: $49.95/mo or $45.95/mo annual; +$5/employee; most add-ons $10/mo; Kate-AI $1/call (per wrenchstack)
Jobber lists its Receptionist as a $29/mo add-on (Jobber pricing). Allclean sells Kelly AI as a separate plan, and Markate lists Kate-AI (as recorded in our directory). Before going live, test it on a price question, an out-of-area address and a reschedule. See text-back setup and AI receptionist guide.
7. Reviews
Our directory has few tools built only for reviews. Some tools listed here include a review or feedback step:
- QuoteIQ: Essentials $29.99/mo (1 user); Beginner $99.99 (2 users); Pro $199.99 (4 users); Elite $299.99 (10 users); Max $699.99 (20 users); extra users $25/mo
- Zenbooker: Standard $29/mo (2 service territories); Professional $79 (8); Enterprise $149 (36); National $259 (96); month to month; 14-day free trial
- QuoteIQ lists review tools (as recorded in our directory).
- Zenbooker lists customer feedback requests sent after a job is marked complete (Zenbooker pricing).
The simple version works: when a job is marked complete, send one short text with a direct link to your Google review page. Do it the same day and ask every client the same way. Most booking tools above can send an automatic follow-up message you can use for this.
8. Payroll
CleanScout doesn't list dedicated payroll software. What these tools do is produce the hours and job records payroll is built from:
- Breezeway: Operations from $19.99/unit/mo; volume discounts at 5+; messaging/Guide/Assist are add-ons
- CleanFlow: Starter $29/mo (as shown on vendor's comparison table)
- Jobber: Core $49/mo no commitment, $39/mo on a 1-year commitment, $29/mo billed annually; Connect $139 ($119 / $99); Grow $199 ($169 / $149); Plus $499 ($439 / $399, includes 5 users); starting prices for the smallest team size; extra users $29/mo each; AI Receptionist add-on $29/mo (included in Plus)
- ResortCleaning: $5/property/mo ($20/mo minimum); Inventory +$2.50; Messaging +$2.00
- Jobber's pricing page lists time tracking, crew time tracking and a Gusto integration that syncs timesheets and reimbursable expenses (Jobber pricing).
- ResortCleaning lists payroll and invoice reports, Breezeway lists paying cleaners, and CleanFlow lists GPS clock-in (as recorded in our directory).
Whether your cleaners are employees or contractors changes how you pay them. That is a question for your accountant or payroll provider, not a software setting.
Three example setups (editorial)
- Solo or small residential team: one booking tool that takes payment (BookingKoala, Zenbooker, Allclean or Jobber), missed-call text-back (PepperSend) and a photo checklist (maid.co or CleanProof).
- Airbnb turnover crew: a turnover scheduler that reads the host's calendar (Turno, TidyStay or BowReady) plus timestamped photo proof (TurnoverProof, CleanProof or Tasa), or a single tool that does both, such as CleanFlow.
- Growing multi-crew company: an all-in-one with dispatch, GPS time tracking and payments (Jobber or Housecall Pro), plus a receptionist add-on or a separate AI receptionist.
Watch out for
- Overlap. Paying for booking in two tools is common. List what each tool does before adding another.
- Per-user, per-territory and per-minute pricing. Extra users, SMS, AI minutes and card fees are often billed separately.
- Roll out to one crew first. Getting cleaners to use a new app every time is harder than the setup.
- Some prices in our directory are marked unverified when we couldn't confirm them on the vendor page.

FAQ
What tools do I need to run a cleaning business remotely?
Cover eight jobs: online booking and scheduling, quoting, dispatch with GPS check-in, photo checklists, payments, missed-call text-back or an AI receptionist, review requests, and hours for payroll. One all-in-one tool such as Jobber, Housecall Pro, Zenbooker or Allclean can cover several of them.
How do I know my cleaners showed up if I am not there?
Use GPS check-in or location-based time tracking in your dispatch app, for example CleanFlow's GPS clock-in or Jobber's location timers, plus a photo checklist the cleaner completes at the job.
How do photos protect Airbnb cleaners in damage claims?
Timestamped arrival photos show the condition the guest left. Airbnb says hosts should document damage with photos or video and file a reimbursement request within 14 days of checkout, so send the host clear, unedited photos the same day.
Can one app run my whole cleaning business?
Some come close. All-in-one tools combine booking, dispatch, payments and sometimes an AI receptionist. Most businesses still add a separate tool for photo proof or missed calls. Start with the job that costs you the most time.
